WEDDING DAY run sheet GUIDELINE AND SAMPLE

 RUN SHEET GUIDELINE

We strongly recommend having enough time for the following so it's more relaxed and less rushed for everyone.
Secret run sheet hack: Have a look at your ceremony time first and work backwards from there using our guide to figure out the Start time for prep and/or Makeup and Hair Finish Time.
For winter weddings/if sun is setting early, work backwards from Sunset time.

PREPARATIONS

  • 90 minutes - 2 hrs Getting ready - 1 photographer with you. Another with your partner. Same start time. If you booked video, the video will be with you too for the whole duration of Prep.

(90 minutes sounds long but time passes by so fast. Don’t worry this won't mean 1000 photos of you getting your makeup on - it’s just the time we need so you don’t feel rushed and everyone who’s getting ready with you has enough time to get dressed but also not be rushed and hustled. So it’s actually enjoyable and there’s enough time for you guys to have a glass of bubbles and chill before it all get really busy)

  • 1 hour before photographers leave: hair and makeup should be done at the latest. (Please note that photographers need to be at the ceremony location 30-60 mins before ceremony time so they can capture Ceremony Styling Shots and Guests Arrival photos.)

  • Photographers travel to ceremony venue for Ceremony Styling shots. Bride/Groom can travel later if preferred.

CEREMONY STYLING

30-60 minutes before ceremony, both photographers at ceremony location to capture styling shots and guests arriving

CEREMONY

Usually 30 minutes for casual wedding with a celebrant.

1 hour for Church wedding.

Please note:

If you are doing ceremony later than 2:30 in winter, please be aware we run the risk of not having enough time to do wedding Couple portraits as it will get dark quite soon. We recommend changing your ceremony time to 2:30 or earlier. (If your ceremony is in summer, ignore this line.)

CONGRATULATORY HUGS + FAMILY/GROUP SHOTS

Right after the ceremony, 30 minutes for congratulatory hugs and family photos/group shots

COUPLE PORTRAITS + WEDDING PARTY PHOTOS (if any)

Allow 90 minutes. Add more time if there's travel needed (Consider potential traffic + parking time).

For Bendooley Estate/Stables weddings, 45 minutes of portraits is normally enough. For other venues, we still recommend 1.5 hours.

  • RECEPTION timings - up to you/your planner.

  • Meals for MJ team - allow 30 minutes when no speeches are happening so we can capture this later.

PRE-SUNSET PHOTOS

If sun is setting late, Couple to sneak out 20 minutes before sunset and not during.
Google will give you sunset time. It can already be too dark for photos if we start at sunset time, so we aim to start 20 minutes before. It even gets dark faster if it's a cloudy day for example.

This can last between 10 to 20 minutes. Totally up to you! We normally suggest 20 minutes so we have time to enjoy the pre-sunset sunlight’s magic. 10 minutes is fine too though if you want it to be super quick and would rather spend time with the guests!

START OF DANCING

An hour before MJ team finish or earlier.

  • MJ TEAM FINISH when we’ve got enough coverage of dancing to tell the gallery/video story, which is normally 30 minutes dancing coverage.

Before the wedding, we tentatively schedule MJ team to finish an hour after the First dance to account for any delays (which can be about 30 mins difference for reality vs planned run sheet)

Our team can only stay up to the time agreed beforehand and cannot extend the hours on the day. We live in various locations and this helps us plan our day / drive to accommodation or home better. We thank you for your understanding.

FAQs

Do we need to have wet weather plan?

Yes! Please speak with your planner or wedding venue coordinator if they can give you ideas about wet weather plan.

Do you know a spot near my venue where we can do the portraits if it rains?

For weddings around Sydney CBD, The Fullerton is the best hotel for booking if you'd like access to beautiful foyers/covered outdoor areas. I think they charge fees, so probably best for you to speak to them about the logistics/booking process. Our client Heather & Peter did their indoor photos there recently. Such a beautiful indoor spot!

For weddings outside CBD, aside from your venue, we normally don’t have a specific spot for photos when it’s rainy. As much as we’d like to conjure secret spots for rainy days, alas we unfortunately don’t have this power. You could bring clear umbrellas and we could still do the Couple Portraits at the original outdoor location if it’s not pouring. Black or white umbrellas are okay too if clear umbrellas are not available. If your venue has beautiful interior decor, it could also be an option.

Please note:
We only shoot outdoors when the rain is very light. Otherwise, the photographers and cameras are not waterproof unfortunately! We kindly ask you to please think ahead and organise a Plan B if it’s raining heavily (e.g., at your original venue indoors). Your wedding planner should give you ideas. If you don’t have a planner, you could also speak to the venue staff about wet weather plans.

Do we need to sort out Photography Permit?

Yes please! As outlined in the contract, it’s the clients’ responsibility to schedule and receive permission to use various locations for photography, including the church (if any) for the day of the wedding and any parks or venues specifically requested by the Client.

What if we don’t have Bridal Party? Do we still need 90 minutes for Getting Ready Shots and/or Couple Portraits?

Yes, we still recommend a minimum of 90 minutes for Getting Ready shots and 90 minutes for Couple Portraits so it’s more chill and less rushed for everyone.

Will the photographers shoot separately during Getting Ready shots?

Yes. The lead photographer will be with you. The videographer will be with you too if you booked video. The other photographer will be with your partner. Normally same start time for everyone.

When should my hair and make up finish?

An hour before the photographers leave for ceremony venue at the latest. (Please note that the photographers usually leave earlier than the bride as they need to be at the ceremony location 30-60 minutes before ceremony to capture shots of Ceremony Styling and Guests’ Arrival.) The bride/groom can travel later if preferred and is perfectly okay!
Example:
12:30 Getting ready shots start.

1:00 All hair and makeup should be finished at the latest. (1 hr before photographers leave.) Continue getting ready photos.

2:00 Photographers depart for ceremony location - adjust the timings depending on prep location.

2:30 Both photographers to photograph ceremony styling

3:00 Photos of guests arriving

3:30 Ceremony begins

What if we can’t move our late ceremony time and the sun is setting early?

We recommend doing First Look photos before the ceremony and some bridal party photos for at least an hour (and adjust the timings for Getting Ready accordingly). This is actually very fun and intimate as we capture each partner's reaction upon seeing each other for the first time on your special day.

What if the sun is setting early, we can’t move the ceremony time earlier, and we don’t want First Look photos at all and want to keep it traditional?

In this case, we can focus on candid photos during the time that we have and there will be very few posed shots.

How many cars your team will use on the day?

Each member of our team drives their own car, so if you have 2 photographers and 1 videographer for example, there will be 3 cars.

Will you take family photos on the day?

Definitely! Please assign 1 or 2 people (or even more if you’ve got a big family!) to herd people into family/group shots so the photographers can focus on taking the photos instead of guessing who’s who. Ideally the assigned person will also tick off your group shot list to make sure that nothing is missed. Feel free to share your family shot list with us if you’ve got one, although not mandatory.

When will the photos be ready?

10 weeks from the wedding/engagement shoot date. Due to a lot covid-rescheduled weddings, there’s unfortunately a lot of backlog for a lot of vendors. If you ordered Priority Preview ($199), you’ll get around 25 high resolution-highlights photos delivered within 5 days from your wedding day/engagement session.

When is the video ready?

13 weeks from the wedding date. We don’t want to rush the process and we’d like to make sure you’re getting the best version of your video. Thank you for your patience!
